AI Booking Assistant
The booking assistant lets your customers book, check, change, and cancel appointments entirely inside chat — on your website, on LINE, and in other messaging channels. They just talk, in their own language. The assistant figures out what they want and makes it happen.
The short version: an AI concierge talks to your customer. A careful, rule-based booking system does the actual work. The AI can only offer real appointments and can only book times the system confirms are free.
What your customer experiences
There is nothing to learn and no form to fill in. A typical conversation:
Customer: I want to book. Assistant: Great — what service would you like to book? Customer: Teeth cleaning. Assistant: Is this week convenient, or would next week suit you better? Customer: Next week please. Assistant: Which day next week best suits you? Customer: Friday. Assistant: We have availability on Friday morning and afternoon. Customer: Morning. Assistant: On Friday 30 October at 10:00 there's an opening. Would you like me to book it? Customer: Yes please. Assistant: Booked — Friday 30 October, 10:00. Anything else I can help with?
Notice what the assistant is doing:
- One question at a time. It asks only for what it still needs (service → week → day → time of day), and skips questions the customer already answered. "Friday morning next week" in one message is enough to go straight to available times.
- It never dumps your whole calendar. Customers see a few times that match what they asked for, not dozens of open slots.
- It confirms before anything is final. Booking, cancelling, or moving an appointment only happens after the customer agrees.
The same flow works for everyday requests:
- "Do I have an appointment?" — the assistant looks it up and answers.
- "Cancel that please" — it repeats the booking back and asks for a clear "yes" before cancelling.
- "Can I move it to the afternoon?" — it finds a better time, then moves the appointment.
Any language, one system
Customers can write in English, Thai, Chinese, or the language they are comfortable with — and switch midway. The assistant answers in the language of the customer's most recent message.
Customer: ฉันมีนัดหมายอะไรไหม (Do I have an appointment?) Assistant: คุณมีนัดหมาย…วันพฤหัสบดีที่ 22 ตุลาคม เวลา 10:00 น. (You have an appointment on Thursday 22 October at 10:00.)
Under the hood there are not separate Thai, English, and Chinese booking flows to keep in sync. There is one booking system with one set of operations ("check availability", "book this time", "cancel that booking"), and the AI translates between the customer's words and those operations in both directions.
Why it's built in two parts
Many booking chatbots are either rigid ("type 1, 2 or 3; unrecognized answers break them") or free-form ("the AI chats well but can invent a time that was never free"). We split the job in two so you get neither problem:
| Part | Job | What it is good at |
|---|---|---|
| AI concierge | Talk to the customer | Understanding any language, asking natural narrowing questions, explaining options |
| Booking system | Keep the record straight | Knowing exactly what is free, preventing double-bookings, recording every change |
The rules that keep it trustworthy:
- The AI cannot invent times. It may only offer slots the booking system just returned as available.
- The AI cannot book on a guess. It books the exact time the customer picked.
- Changes need a clear yes. Cancelling or rescheduling requires the customer's explicit confirmation first.
- If anything is unsure, it asks. A clarifying question is always preferred over a wrong booking.
For your team
Your staff get the same booking system through the admin console (schedule, customers, services, hours, audit) and an AI helper that proposes changes for human confirm — see Admin & Teams. Customers and staff always see the same appointments because there is a single source of truth, whether a booking was made on LINE at midnight or by your receptionist in the morning.
Your customers' accounts
A customer who books while logged in on your website, and a customer who books through LINE, are both fully recognized customers — and the two can be securely connected so all bookings show up at either door. How that works (and how we keep it safe) is covered in Customer Identity & Linking Accounts.
Availability note: the booking assistant is being rolled out gradually to pilot businesses. Capabilities described here reflect the pilot described in our engineering notes; talk to us about enabling it for your bot.
